Ladies and gentlemen, in this 3-blog series I will succinctly explain the hallmarks of a Master Wedding DJ, please read each blog in order. I'll begin with preplanning (this blog) move to day-of execution (blog 2), and finally computer, sound and emcee dominance (blog 3).

I present to you, the DJ Planner, my perfected wedding planning method that ensures total victory. It's the backbone of my continued and increasing successes. It guarantees the bride and groom total control over the music, while asking all the right questions, and conveying important information. My promise of a perfect wedding starts with the fundamental idea that your day-of experience shouldn't be filled with more questions. Imagine what that looks like in practice as the DJ continually walks from the DJ Booth to either the Bride or Coordinator to ask questions in getting up to speed. Physical DJ Planner

​The Planner has two parts, the physical Planner and the digital hyperlink. You receive the physical DJ Planner immediately upon booking via USPS. This booklet will get you started with song ideas spanning from the prelude music of the ceremony to the grand exit of the reception. The pages include hundreds of small print song titles with artists. Of course you’ll be able to choose any songs and genres you wish, I have almost 200,000 on-hand songs and can retrieve almost any song playable on the internet. In essence, my song catalog includes any song you can imagine, all I need is the proper title and artist. My goal is to get your song info prior to the day-of so that in the rare case I don't already have it I can find and download it. At a live event I am able to play songs from my Spotify Premium account but this is a worst-case-scenario situation as I'm relying on my cell's Verizon Wireless signal, and have much less control in manipulating the song. The booklet's listed song samples are a way to get your musical brain flowing as you hone in on your ideal vision. Make all the notes you want, you won’t have to send the booklet back to me. You'll eventually transfer your answers to the Digital DJ Planner.

Digital DJ Planner

The Digital DJ Planner (DDJP) is a robust questionnaire I created in Google Forms. Its hyperlink is auto-sent via email 30 days prior to your wedding, although you’re welcome to have it sooner. I ask all the right questions while giving you full control of the song selections; I'm handing you the batton. Every bit of information about your wedding will be entered here, and there is plenty of room for copy and paste. You'll also repeat all previous conversation information you've had with me, be it audio or video. There will be no need to send separate information emails and texts; these can easily be lost in the shuffle. Any Bride, One DJ

Yes, I’m a DJ for the most thorough bride, but I’m also good to go with minimalism. You can personally pick all your songs and genres or you can leave it up to "DJ’s Choice." This allows me to morph into any bride’s specifications and vision. In addition to picking all your specialty songs you’re welcome to create playlists for 1) the Ceremony Prelude music, 2) the Cocktail Hour, 3) the Dinner Hour, 4) and the Dance Party. Information Transfer

You’ll need to use a Gmail account as the DDJP is a Google Form and will auto-save your answers and progress. I strongly suggest completing this form from a laptop, not from your cell phone, so that you don’t mistakenly lose your answers with a glitch. The Planner is due 10 days prior to the wedding. I've set this timeframe so that the stress of the task is completed before your non-DJ week-of stress begins. I will, however, finalize on the week-of. This includes possible questions from your submission that I don’t understand. It could be as simple as "Tom" or "Thomas?", or as detailed as needing a 5 to 10 minute phone call. Either way, I aim to get everything settled 2-3 days before the day-of. I'll then compare your submission with your hired Coordinator's timeline and notes, addressing inconsistencies. I'll lastly print out my 6-7 pages of formatted perfection, each page flowing from one happening to the next.

15-year Planner History

My perfected Digital DJ Planner, which allows me to guarantee "Perfect weddings, Every. Single. Time." is simply a 15-year product of trial and error. There was never a cheat sheet. I formulated the better-prep idea after my first few gigs back in 2011. One wedding I would work with an Experienced Wedding Coordinator, and the next with a Bride’s helpful mother. I quickly realized, for the most part the “standard” is what I say it is.

There’s no governing body combing through weddings calling party fouls for unprepared or pushy coordinators, photographers / caterers handing out orders as if they're the acting day-of planner, flipping the timeline on its head, weird or meandering announcements, forcing untimely announcements, poor sound issues, wrong-song cringe, equipment glitches, untimely transitions, and wardrobe fails, to name a few.
Having post-event fellow-vendor improvement-chats are strangely taboo. I've personally tried to have light post-wedding conversations to discuss miscues and communication fails; they all seem to end with animosity rather than thankfulness and professional growth.
The Digital Planner was born after three years of attempting to read returned and illegible physical DJ Planners. Should I LOL that? Anyways… Here’s a quick “Lesson Learned” note. In my first year of work a bride wanted to hear Michael Franti, 'Say Hey' as her Grand Entrance. I played the song as it was labeled but turns out I owned the San Francisco Giants version. Yes, they all entered confused while cheering for the Giants because 1) they had no choice, and 2) it was too late to change the song. I learned not to take anything for granted. Each DJ is essentially creating their own standard of excellence. Maybe now you know why I un-affectionately call this “The Wild West Wedding Industry,” expanded on my Google Reviews Blog. Crazy if you think about it to long. So then, your job in hiring the perfect DJ is discovering their personal standards of excellence. This is why I strongly encourage clients to have a video chat with all your potential DJ picks. Ask them how they gather the information needed to pull off the wedding of your dreams. Are they neat and organized? Are they present and in-the-moment? Do they know how to take a good pic or video? This one always gets me: 'why in the world would you hire a person who’s digitally challenged to perform digital mastery (blog 3 of 3)?' How about actual fitness? Does this person look like they're ready to boogie with you on the dancefloor or in need of a chair to catch their breath, and a towel to wipe the sweat off the DJ controller?
